How to set a venue or venue group as Preferred (Office level)
Within GRATIS, you can set venues and/or venue groups to have a Preferred status. Preferred venues appear at the top of the list when an agent uses the venue search functions.

Set preferred venues at the office level
- Click Setup and choose Office Preferences from the dropdown menu.

- Go to the Preferred Venues tab.
- Search for the required:
- Venue group at the top of the page, or
- Individual venue in the second section.

- When the system finds the requested group/venue, select it from the dropdown.
- From the Level dropdown, choose a rank from 1–10:
- 1 = highest rank (shows first in search results)
- 10 = lowest rank
- Set the validity of the arrangement:
- Enter the termination date, and
- Choose whether it applies by enquiry date or by arrival date to determine which bookings are included.
- (Optional) Add any useful information for your consultants in the Notes field.
- Click Add to confirm and add the preferred venue or venue group to the list.

- Repeat as needed, then click the green Save button at the top of the page.
Note: If you have pre-set Client preferred group and venue rankings, these will override your company/office's preferred rankings.
How to set a venue or venue group as Preferred for a specific client
Some clients may prefer specific venues, while others may wish to avoid certain venues. You can set the preferred status at the client level so that it only applies to that client.
To do this:
- Instead of using Office Preferences, open the Client module.
- Browse to and open the specific client record.
- Follow the same steps as above to set preferred venues/venue groups, but now the preferences apply only to that client, not globally.
