This document describes the booking options and the venue option status in the Enquiry Module
Enquiry Status New
- An enquiry or event booking will show as new if the enquiry has not been sent/requested or no venues are attached with a status (such as provisional, declined, released, etc).
Requested Status
- When the enquiry has been sent to the venues, the enquiry status will change to “requested”.
Provisional Status
- When venues are provisionally holding in the enquiry module, the enquiry status will change to provisional.
Lost Status
- If you lose a booking within the enquiry module (using the lost booking button), the enquiry status will change to Lost. Note; It also shows you the lost/cancelled reason, if you hover over the link, further notes are shown. A release report will be sent to any venues with a provisional/held status.
Venue Option Status and Holding Status
In the enquiry module, under the venues tab, within the venue options, there is also the holding status and the venue option status, the status available are shown below;
Enquiry Module, Holding Status
The holding status is set by the venue when they respond online to the enquiry, these include;
1st Option - holding the space for you, you have the first refusal.
Joint 1st Option - holding the space, along with another client.
2nd Option - another client is holding the space in front of you, if they don’t confirm, the space is yours.
3rd Option - there are two clients holding space in front of you.
Not Held - the venue is not holding space.

Enquiry Module, Venue Option Status
Available option status:
New - status prior to sending the enquiry.
Requested - status when the enquiry request has been sent to the venue.
Provisional - this is when the venue is holding the space on your behalf.
Released - for when a venue is not required (please note release documents do not send from the enquiry module).
Declined - for when the agent/client declines the venue or the venue declines the booking.
Footnote - this is for when a venue or agent makes a note, often offering a different date to the original one requested.
No Space - for when a venue doesn’t have space available.
Not Suitable - this can be set by the agent or the venue if it doesn’t work on this occasion.
Not Held - this is for when a venue can offer the space but are not holding it provisionally.
No Reply - when an enquiry is sent via GRATIS, and it is converted to an event booking before the venue responds, it will automatically change to no reply status.
Not Shortlisted - this is to be set by the agent/consultant if they are not shortlisting the venue (please note, a release document will not be generated).
Over Budget - this can be based on a reply from the venue or set by the agent/consultant
