The Operated Report exclusively accounts for confirmed bookings with finalized details, serving as a partial financial breakdown that delineates Room Nights.
These Room Nights are calculated by utilizing the 'R' (Room) category along with the number of days or nights for the event specified in the charges table. Attendee numbers are derived from charge lines categorized as 'C' (Conference).
Food and beverages are categorized as 'C', while equipment falls under 'O' (Other). This categorization enables the report to retrieve data from the charges table effectively, allowing users to view all three categories comprehensively.
Upon generating the Operated Report, users will observe the amalgamated count of guests staying each night, showcased in the Room Nights column. For instance, the top three lines display 16 guests on the first night, 50 on the second, and 45 on the third, summing up to 111 Room Nights.
Attendee figures per day are delineated in the DDR lines, with 100 attendees on the first day, 80 on the second, and 40 on the third, totaling 120 attendees overall.
The inclusion of coffee, tea, and biscuits lines under the 'C' category ensures that they do not impact the number of attendees displayed in the No DD (Day Delegates) column of the report.
In contrast, the Status Report (Enhanced) remains dynamic, covering all statuses including bookings that may not be finalized yet. The Room Nights are pulled from the information specified on the General tab of the booking, particularly from the No 24Hr field. This figure is multiplied by the number of days the event spans.
The Number of Day Delegates will consider the total number of attendees. If the event has multiple days and the number of attendees per day may differ, the report will not take this into consideration.
Please see the example below.
The Number of Day Delegates aggregates the total number of attendees across all days, disregarding potential fluctuations in daily attendance.
For instance, if an event spans three days with 120 attendees per day, resulting in a total of 111 Room Nights, dividing this by 3 (number of days) equals 37. This figure represents the average number of room nights, not necessarily the attendees staying overnight.
Consequently, the Status Report (Enhanced) accurately reflects the event's duration, total attendees over the duration, and the appropriate count of Room Nights.
