Instant Book is a feature that simplifies the booking process for small meetings. With Instant Book, you can reserve spaces without the need to submit an enquiry.

GETTING STARTED

• Login to the portal and navigate to the venue search area.
• At the top of the screen, you will find a dark grey Instant Book bar.
• Choose the date and duration of your meeting.
• Utilise other filter options to select the destination or any other criteria you need.
• Click on "Show Results" to view the search results.

BOOKING A VENUE

• Venues offering Instant Book availability will display a green "Book" button above the "Add to list" option.

• Click on "Book" to view meeting space options, details, and rates.
• Customise your requirements, view rooms availability and click "Instant Book" when you find the desired room.

BOOKING DETAILS

• A blue bar at the top shows the time remaining before the room reservation expires. Verify the number of delegates.
• Select the room layout.

• Provide the event name and specify arrival and departure times. Add the primary contact if available.
• Include equipment and catering requirements. Review charges on the right-hand side.
• Complete "Additional Requirements and Questions" if needed, and click Next.

REVIEW YOUR BOOKING

• Review the details you entered.

• Your information should be pre-populated on the same page and can be edited.

• If your company requires any additional information, such as a purchase order or charge code, provide it in the "Additional Detail" section.

• Review your booking details, select the payment method and check the box to confirm that all details are correct and that you accept the Terms & Conditions.

PAYMENT 

• Bill Me Later: The booking will be completed immediately, and the GRATIS user will invoice you later.

• After completing the booking, both you and the venue will receive a confirmation email.
