The process flow is described below:
- The process for confirming online works in this manner: Create an enquiry, convert it to a booking, generate the client proposal document and approve and email the document.
- The contact will then be able to view and respond to the proposal either directly via the link from within the email or via 'my enquiries' within your client portal.
- If the client chooses to respond to the proposal by clicking on the link within the email the client will be prompted to log in, the login required is the client's login for your myeventsportal.com website. The client will not be taken to the portal website when logging in from here but they will be able to use all the functions described below.
- The client proposal will display the selected venues. The contact can then confirm or decline a venue by utilising the ‘Select & Confirm Venue’ box to the top left of the page
- To decline a venue the contact will tick the checkbox and click submit
- The contact will then be presented with another pop up where they will be able to choose their reason for declining the venue and be able to add a free typed message. Once complete the client will click submit
- The declined venue will then be removed from the ‘Select and Confirm Venue’ box
- The contact can choose to cancel the enquiry by selecting the decline all checkbox and clicking cancel enquiry
- To confirm a venue the contact will click the confirm checkbox and then click the proceed button
- Another pop up will appear and the contact, if they choose to will be able to add a message for the consultant. After adding or not adding a message the client clicks submit
- The contact will then be prompted for the final confirmation
- A confirmation box will then appear
- The ‘Select and Confirm Venue’ will now change to Pending and there will be text in the box advising that the enquiry is now awaiting action from the agent's office
- When the contact then views the overview of their enquiries in the portal they will note that the action required column under enquiries for this enquiry will show a ‘pending’ state
