Cancelled Bookings

Many of you have been experiencing the fallout from COVID-19 with events cancelling or being postponed and I thought I’d offer some thoughts on how best to handle things in GRATIS.

Booking cancels outright: amend any notes and cancel the booking.  This will record the date the booking was cancelled, when it was due to arrive and the value.

Booking cancels with charges: amend the charges table to reflect cancellation charges to be levied (check VAT rules).  I would also recommend you add the word ‘CANCELLED’ in from of your Event Name and then issue an amendment to the venue with an additional note about your commission expectations for cancellation charges.  Set an activity against the booking to double-check cancellation fees after the event was due to arrive as they potentially will change.

Tracking:  I would recommend you extract an excel version of your future Confirmed bookings from the Status Report and save it as a snapshot of your current situation, add a new column for ‘date cancelled with charges’ and ‘cancellation charges’ which will help you to analyse the reduction of charges & commission.
