The Status Report provides an overview of enquiries received within a specific date range, based on the Arrival Date, Enquiry Date, or Reconciled Date.
This report identifies the status of each enquiry, including the potential value of provisional bookings, and categorizes them as Confirmed, Lost, Cancelled, New, Claimed, and Paid.
Filtering the Report
The following fields allow you to filter and customize the report:
- Account Manager: Choose a specific account manager, or select "All" to include all account managers.
- Source: Select where the enquiry originated (e.g., website, referral, etc.), or choose "All" to include all sources.
- Booking Type: Filter by Accommodation, Conference, Supplier, or select "All" to include all booking types.
- Style: Choose either Client or Agent:
- Agent: Focuses on commission and revenue.
- Client: Focuses on savings.
- Group By: Select how you’d like to group the report, such as by Client, Consultant, Enquiry Contact, Source, or Month.
- Status: Filter by the booking status:
- Provisional, Confirmed, Cancelled, Lost, New, Confirmed All, Paid, or All.
- Ex Tax: Tick this checkbox to display results excluding VAT.
- Market Segment: Filter by a specific Market Segment (defaults to "All").
- Industry Category: Filter by a specific Industry Category (defaults to "All").
Client and Venue/Supplier Filters
On the right-hand side of the page, you can further refine the report by filtering on:
- Client, Contact, Venue, Supplier, and Parent Company.
Generating the Report
- Select Date Range: Choose the start and end dates for your report.
- Report Type: Choose whether you want a Summary or Detailed report.
- Preview: Click "Preview" to generate the report based on your selections.
- Reset: Click "Reset" to clear your filters and start over.
Report Output
The report will display the number of bookings for each status, along with their value where applicable. It will also include combined totals for each category.
Exporting the Report
To export the report, click the Save icon and select your preferred file format (e.g., Excel, PDF).

Note:
The reporting system is intentionally designed to display all bookings - both past and future - under the current account manager assigned to the client profile. This approach ensures that when an account manager transition occurs, the new account manager has full visibility of every booking associated with the client, regardless of when those bookings were originally made or who managed them at the time of confirmation.
This design is particularly important for business continuity and ongoing account management. If reports were to show bookings only under the account manager who was responsible at the time of booking, there is a risk that the new account manager would not see all active or historical bookings. This could lead to missed opportunities, incomplete business reviews, and gaps in client service.
By always reflecting the current account manager in reports, we help ensure that transitions are seamless and that the new account manager can effectively manage all aspects of the client relationship without missing any critical information. This also removes the need for manual updates to individual bookings, which is locked to maintain data integrity.
We understand that different organisations may have varying preferences, but this reporting logic is in place to support smooth transitions and comprehensive oversight for account managers.
