This guide is designed to assist users in updating their company information in GRATIS if their company is undergoing a rebranding process.
Step 1: Access Employee Profiles - Click on the "Setup" button located in the top right-hand corner of the screen, and select "Employee Profiles."
Step 2: Update Employee Details - Select each employee individually to update their details. On the "Detail" tab, you can update their email address if needed and click on the green "Save" button located on the top right-hand side of the screen.
Step 3: Update Employee Email Signatures - On the "Agent" tab, update the employee’s email signature, and then click "Save" on the top right-hand side of the screen.
Step 4: Update Office Preferences - Go back to "Setup" and click on "Office Preferences." On the "Details" tab, update fields such as the Company name, Email address, and Website. If any other information is changing, update it as well. Click "Save" before moving on to the next tab.
Step 5: Update Footers - On the "Footers" tab, check all the footers that need to be updated. Change the company name or any other relevant details to the new branding.
Step 6: Change Email Settings - Go to the "Sites" tab to change email settings, such as the email address to which new enquiry notifications are sent.
Step 7: Update Document and MyEventsPortal Theme Section - Scroll down to the "Document & MyEventsPortal theme" section. Change the logos and update the colour scheme of the documents if needed. Note that the images have the maximum dimensions indicated in this section.
Step 8: Update Site Text - On the "Site Text" tab, change the texts displayed on the Client’s Portal to reflect the new branding. Go through the options on the drop-down list to check the ones that need updating. Once updated, click "Save" at the bottom of the page.
Step 9: Update Logos - On the "Logos" tab, update logos to fit the maximum dimensions specified, and click "Save."
Step 10: Check Company Preferences - Click on "Setup" and then "Company Preferences." In the "File Bank" tab, change the company branding of the loaded documents if needed, so that clients receive documents with the new branding.
Step 11: Edit Communication Templates - In the "Comms" tab, edit company templates to ensure they display the correct information.
Step 12: Update Booking Documents - Finally, update documents created with the previous branding of the company by going to each booking and clicking "Save." The system will generate new documents with the new branding.
