Understanding the statuses in the Outbox

The GRATIS Outbox can be accessed from the top of every page. Within the Outbox, you can filter documents using the drop-down menus.

This guide explains what shows for each status in the fourth drop-down, and how different actions change a document’s status.

Awaiting Approval

When you select Awaiting Approval, the list shows all documents that:

  • Have been created within a booking, and
  • Have not yet been approved

Documents are sorted by the date and time they were created, with the newest at the top.




To remove a document from the Awaiting Approval list:

  1. Click the document title under the Document column to open it.
  2. Choose either: 
    • Approve + Email – approves the document and sends it immediately, or
    • Approve – approves the document without sending it yet.

Either action will remove the document from the Awaiting Approval view.




Ready to Send

When you select Ready to Send, the list shows all documents that:

  • Have been approved using the Approve option (without sending), and
  • Have not yet been emailed.

These documents will remain in the Ready to Send view until they are sent.




To send a document from Ready to Send:

  1. Click the document title under the Document column.
  2. Choose Email.


Note: Documents that were approved and sent using Approve + Email will not appear in Ready to Send, as they have already been emailed via the Outbox.
