How to make sure your clients get emails sent via GRATIS (SPF Record)

Sometimes proposals and other documents sent from GRATIS don’t reach your clients. This is usually because their email system blocks or rejects the message, often due to a missing or incorrect SPF (Sender Policy Framework) record for your domain.

To reduce the chances of GRATIS emails being marked as spam or rejected, your IT/contact needs to configure SPF correctly.


What you need to do

  1. Download the attached SPF setup guide
  2. Forward it to the right person

Send the PDF to whoever manages your email server or DNS records (usually your IT team, email provider, or domain host).

  1. Ask them to update your SPF record
    • Review the instructions in the PDF.
    • Add or update your domain’s SPF record so it includes the servers/services used by GRATIS to send emails on your behalf (as described in the PDF).


After SPF is updated

Once your SPF record has been correctly configured:

  • Emails sent via GRATIS (proposals and other documents) are much more likely to be delivered successfully to your clients’ inboxes instead of being blocked or treated as spam.
  • If clients still report missing emails, ask them to: 
    • Check their spam/junk folders.
    • Whitelist your sending email address or domain.

If problems continue after SPF has been updated, please contact our support team with example email addresses, timestamps, and document names, so we can investigate further.
